How to Build a WhatsApp Lead Qualification Workflow

The flow at a glance
- Lead messages your WhatsApp number (from an ad, link or QR).
- n8n receives the webhook from WhatsApp Cloud API.
- AI asks 3–4 qualifying questions one at a time, in a human tone.
- Answers are scored, stored in your CRM and a calendar link is sent if the lead is qualified.
Designing the questions
Three is usually the right number. Any more feels like a form. The questions should map directly to your ICP: what they want, when they want it, and a budget or scope signal.
Handoff to a human
- Qualified — send Calendly link + Slack alert to the assigned rep.
- Borderline — escalate to a human with the AI's summary pinned at the top.
- Not a fit — polite decline + link to a relevant resource (a useful no is still a brand win).
Compliance and tone
Stick to WhatsApp Business policy: get opt-in, use approved templates for proactive messages, and never pretend to be human. A clear 'Leadocrat assistant' header at the start of the chat works better than fake names.
