How to Turn SOPs Into AI-Assisted Workflows
Most SOPs collect dust. Here's how to convert the ones that matter into AI-assisted workflows your team will actually use.
Who this is for: Operations leads, COOs and founders sitting on a folder of SOPs that nobody opens — ready to make them executable.

A good SOP is already 80% of a workflow. The trick is recognising which 20% the AI is for, and which steps must stay human.
The conversion process
- Pick one high-frequency SOP — onboarding, proposals, support, status updates.
- Mark each step as deterministic (rule-based) or judgment-based (AI candidate).
- Rebuild deterministic steps as workflow nodes (n8n, Zapier, etc.).
- Convert judgment steps into prompt blocks with explicit inputs and outputs.
- Wire in a human approval gate where the cost of a mistake is high.
Prompt blocks, not chatbots
A prompt block has: an explicit input contract, a system prompt, an output schema and a fallback. Treat it like a function. That mindset is what makes AI-assisted workflows reliable.

The 200+ page operator's guide. Frameworks, prompts and reference workflows — $12.99, lifetime updates.
Where to start
- Proposal drafting — high judgment, high frequency, low risk if reviewed.
- Support response triage — high frequency, easy to gate behind human approval.
- Internal status reports — pure win; low risk, immediate time savings.
Common mistakes
- Trying to convert the whole SOP into one giant prompt.
- Removing the human approval gate too early.
- No versioning on prompts — when something regresses, you can't diff.
